Administrative Assistant Resume: Examples and Writing Guide
Write an administrative assistant resume that proves calendar, travel, and office skills with numbers, plus a full sample, skills table, and bullets by level.
Key takeaways
- Administrative assistant resumes win on scope: say how many people you support, how many meetings and trips you handle, and which systems you run.
- Turn calendar, travel, and office duties into results, such as hours saved, costs cut, errors avoided, or turnaround times met.
- Name your software exactly, with a skill level, because Outlook, Excel, and Concur are search terms in applicant tracking systems.
- Match your bullets to the title you want next: assistants show accuracy, executive assistants show judgment, office managers show budgets.
- BLS projects slower demand for general admin roles but growth for medical ones, so tailor your resume to the setting you target.
An administrative assistant resume has an unusual problem. The job is about making other people's work run smoothly, so the best assistants are often invisible. When it comes time to write the resume, many of them fall back on a list of duties: answered phones, scheduled meetings, ordered supplies. Every applicant has those lines, so none of them stand out.
This guide shows you how to make the invisible work visible. You'll get a complete sample resume, a skills table covering software and certifications, a metrics table for calendar, travel, and office work, bullets for entry-level through office manager roles, and BLS pay and outlook data to help you aim.
The approach is simple. Say who you support, how much you handle, and what got better because of you. Every section below is a way to put those three facts on the page.
What an administrative assistant resume needs to show#
A hiring manager reading admin resumes is asking one question: will this person take work off my plate without creating new problems? The answer comes from three kinds of evidence. Scope shows how much you can handle. Tools show how fast you can start. Results show that your work holds up.
What the job data says#
The U.S. Bureau of Labor Statistics counts about 3.5 million secretaries and administrative assistants, with a median wage of $48,310 as of May 2025. Most enter with a high school diploma and learn the job through several weeks of on-the-job training. Executive assistants typically need several years of related experience first.
BLS names four important qualities for these roles: decision-making, interpersonal, organizational, and writing skills. Notice that typing and filing are not on the list. Employers expect you to know the tools. What they're screening for is judgment.
The Labor Department's O*NET profile for administrative assistants lists Microsoft Office, Outlook, Excel, Word, and PowerPoint as in-demand technology. It also flags tools like SAP Concur, Slack, SharePoint, Google Workspace, Zoom, and Canva as hot technologies. Those are the exact words to look for in a posting and repeat in your skills section.
Administrative assistant, executive assistant, or office manager?#
These titles overlap, and postings use them loosely. The table shows how the focus of your resume should shift with the title you're targeting.
| Target title | Who you support | Typical scope | What your resume should emphasize |
|---|---|---|---|
| Office assistant | The whole office | Phones, mail, visitors, data entry | Volume, accuracy, service |
| Administrative assistant | A team or department | Scheduling, documents, records, supplies | Organization, tools, small process wins |
| Senior administrative assistant | Department leaders | Complex calendars, projects, training juniors | Ownership and mentoring |
| Executive assistant | One to three executives | Gatekeeping, travel, board prep, confidential work | Executive time protected, discretion |
| Office manager | The whole site | Vendors, budgets, facilities, admin staff | Budgets, savings, team leadership |
O*NET's profile for executive assistants lists managing executives' schedules and making travel arrangements as the top two tasks. If you're aiming for that title, those two areas should dominate your bullets.
Postings titled "administrative assistant" sometimes describe executive assistant work, and the reverse. Match your resume to the duties in the posting, not just the title at the top.

Why this sample works#
The resume works because every section answers the hiring manager's question about scope, tools, or results:
- The summary states scope in numbers. Three directors, two time zones, 15–20 trips, and a 60-person site tell a reader exactly what size job Morgan can handle.
- Bullets cover the full range of admin work. Calendar, travel, meetings, office operations, and onboarding each get one line, so no reader wonders about a gap.
- There are real results, not just duties. Lower spend, fewer rush orders, and a checklist adopted site-wide show improvements a manager would notice.
- Software is named with a skill level. "Excel (pivot tables, XLOOKUP)" is far more convincing than "proficient in Microsoft Office."
- The older job still earns its space. The medical office role shows volume and accuracy, both of which transfer to any admin job.
Format, length, and section order#
Administrative hiring managers are detail people. A resume with uneven spacing, mixed date formats, or a typo reads like a preview of your work. The format itself is part of the proof.
Section order that works for most applicants#
Use reverse-chronological order, which lists your most recent job first. Most admin applicants should arrange their sections like this:
- Header with name, target title, city, phone, email, and LinkedIn URL.
- Summary of two or three sentences.
- Experience, most recent first, with three to six bullets per recent job.
- Skills, grouped into admin skills and software.
- Education and certifications.
If you're changing careers into admin work, keep the same order but make the summary do more of the reframing. Our guide to ATS-friendly resumes explains why this standard order parses most reliably in applicant tracking systems.
Length and layout#
Keep it to one page if you have under ten years of experience. Executive assistants and office managers with long careers can use two pages, but only if page two holds results. Cut older jobs to a title line and one bullet before you add a page.
Layout rules that protect both readability and parsing:
- Use a single column, standard headings, and one font throughout.
- Pick one date format, such as "Apr 2022–Present," and use it everywhere.
- Avoid tables, text boxes, icons, and skill bars in the resume file itself.
- Align everything to the left edge so the page scans cleanly.
- Proofread twice, then read it aloud once. Admin resumes get rejected for typos more than most.
Before sending, run your file through a free resume checker to catch formatting issues, weak bullets, and missing sections.
How to write an administrative assistant resume summary#
The summary is three sentences that tell the reader who you support, what you run, and what you're best at. Avoid stock phrases like "detail-oriented self-starter." Every applicant writes them, so they carry no information.
A simple summary formula#
Combine these elements, in roughly this order:
- Title and years of experience, matching the posting's title where honest.
- Who you support, such as a team of 12, three directors, or a CEO.
- What you run, such as calendars, travel, events, or office operations.
- Your strongest tools, named exactly.
- One proof point, such as a cost saving, time saved, or process improvement.
Summary examples by level#
Entry level: Organized office assistant with 1 year of front-desk experience at a dental practice, handling 60+ calls and 30 appointments a day. Proficient in Microsoft 365 and Google Workspace; Microsoft Office Specialist certified in Word and Excel.
Administrative assistant: Administrative assistant supporting a 15-person finance team for 4 years. Manage team calendars, prepare monthly reports in Excel, and process 40+ invoices a week with no late payments in 2 years.
Executive assistant: Executive assistant to a CEO and two vice presidents at a 300-person software company. Protect executive time through calendar triage, plan 30+ trips a year, and prepare quarterly board materials under tight confidentiality.
Office manager: Office manager running daily operations for a 75-person architecture firm. Own a $180K facilities and supply budget, manage 9 vendors, and supervise 2 front-desk staff; cut annual office costs 11% in 2025.
For more patterns across roles, see our resume summary examples. Keep the summary short. Its only job is to make the reader want to see your bullets.
How to show calendar, travel, and executive support on your resume#
This is where most admin resumes fall flat, and where yours can stand out. Calendar and travel work is the core of most admin and executive assistant jobs. It is also the work most often described as a bare duty. The fix is to show complexity and outcome.
Calendar management#
"Managed calendars" says nothing about difficulty. A calendar for one manager in one office is a different job from five executives across three time zones with board meetings and investor calls. Show the scale:
- How many people's calendars you manage.
- How many meetings you schedule per week.
- How many time zones or offices are involved.
- Any recurring meeting structures you designed or simplified.
- Conflicts you resolved, or time you freed up for the people you support.
- Manage calendars for a CEO and 2 VPs across 3 time zones, scheduling 60+ meetings a week with priority rules agreed with each executive
- Redesigned the weekly meeting cadence for a 9-person leadership team, freeing about 4 hours a week per director
- Coordinate quarterly planning sessions for 25 managers, booking rooms, video links, and pre-reads 2 weeks in advance
Travel and expense management#
Travel bullets should show volume, complexity, and money. International trips, multi-city itineraries, and last-minute changes all count. If you manage expense reports, show accuracy and turnaround.
- Book 30+ domestic and international trips a year, including multi-city itineraries and visa paperwork, with no missed connections in 2025
- Reconcile 50+ expense reports a month in SAP Concur with 99% first-pass approval from finance
- Negotiated a corporate rate with 2 hotels near the main client site, cutting average nightly cost by 18%
Meetings, events, and documents#
Admin work often includes leadership meetings, offsites, and the documents behind them. These bullets show writing and organizational skill, two qualities BLS lists for the role.
- Prepare agendas, slide decks, and minutes for monthly board meetings; distribute action items within 24 hours
- Planned a 2-day offsite for 80 employees, managing venue, catering, and AV within a $40K budget
- Built a SharePoint document library with a naming standard, cutting time spent searching for files across a 20-person team
Confidentiality, gatekeeping, and judgment#
Executive assistants are trusted with salaries, legal matters, and personnel decisions. You can't share the details, but you can show the trust. Mention the type of sensitive material you handle and the decisions you make on your executive's behalf, without revealing anything specific.
Phrases like "screen 100+ emails a day and handle 70% without escalation" prove judgment better than the word "discretion." Show the decisions you make, not the trait.
Administrative assistant metrics to quantify#
Admin work generates more countable output than people realize. Use the table below to find numbers in your own job. Counts work even when your employer never tracked formal metrics.
| Area | What to count | Sample phrasing |
|---|---|---|
| Calendar | People supported, meetings per week, time zones | "60+ meetings a week for 3 executives in 3 time zones" |
| Travel | Trips per quarter, international share, savings | "Booked 30+ trips a year; cut hotel costs 18%" |
| Expenses | Reports processed, approval rate | "50+ reports a month, 99% first-pass approval" |
| Communications | Calls and emails per day, response time | "70–90 calls a day; same-day replies" |
| Documents and records | Volume, turnaround, accuracy | "Digitized 6,000+ records two weeks early" |
| Office operations | Budget owned, vendors, savings | "Own a $180K budget; cut costs 11%" |
| Events | Attendees, budget, events per year | "2-day offsite for 80 people within budget" |
| Onboarding and training | Hires onboarded, staff trained | "Onboarded 3–5 hires a month" |
Decide which duties deserve bullets#
You probably do a dozen kinds of work in a week. You have room for four to six bullets per job. Give bullets to the duties that take the most time and match the posting. The chart below is an illustrative model of one executive assistant's week, not survey data. Sketch your own version to decide where your bullets should go.
Illustrative: one executive assistant's weekly time split
A sample model for deciding bullet priority; not survey data
- Calendar and scheduling30%
- Email and communications20%
- Travel and expenses15%

- Meetings and events10%
- Office operations10%

| Label | Value |
|---|---|
| Calendar and scheduling | 30% |
| Email and communications | 20% |
| Travel and expenses | 15% |
| Documents and reports | 15% |
| Meetings and events | 10% |
| Office operations | 10% |
In this example, calendar and communications deserve the first two bullets. If a posting stresses events, though, move your event bullet up even if events take less of your time.
Finding numbers when nobody tracked them#
You can rebuild most figures from records you already have:
- Count a typical week of calendar invites in Outlook or Google Calendar.
- Check your sent folder for travel confirmations and expense submissions.
- Ask finance for your expense report approval history.
- Look at supply invoices from before and after a change you made.
- Review performance reviews and thank-you emails for specific praise.
Our guide to quantifying achievements covers more ways to estimate honestly. If you're stuck turning a routine task into a result, the free accomplishments generator can suggest a framing to start from.
Administrative assistant skills, software, and certifications#
Your skills section does two jobs. It feeds keywords to applicant tracking systems, and it gives a hiring manager a quick inventory of what you can do on day one. Build it from the posting, not from a generic list.
Skills table: admin skills, tools, and certifications#
| Category | Examples to list | How to prove it |
|---|---|---|
| Executive support | Calendar management, travel coordination, gatekeeping, meeting prep, minutes | Bullets with people supported and volume |
| Office operations | Vendor management, supply ordering, facilities requests, mail, onboarding | Budget owned, savings, turnaround |
| Microsoft 365 | Outlook, Excel, Word, PowerPoint, SharePoint, Teams | Named features, documents you built |
| Collaboration tools | Google Workspace, Slack, Zoom, Webex | Meetings run, channels or drives managed |
| Finance and expenses | SAP Concur, QuickBooks, invoice processing, petty cash | Reports processed, accuracy |
| Design and documents | Canva, Adobe Acrobat, mail merge, templates | Newsletters, forms, templates adopted |
| Certifications | Certified Administrative Professional (CAP), Microsoft Office Specialist, notary public | Certifications section with year |
Group your list into two lines, admin skills and software, so it scans fast. Our guide to computer skills for a resume covers how to describe software in more depth, and the free resume skills generator can suggest a starting list for your target title.
Describe your software level honestly#
"Proficient in Microsoft Office" is on nearly every admin resume, so it tells the reader nothing. Name the features you actually use. Here is a quick way to describe Excel honestly:
- Basic: data entry, sorting, filtering, simple formulas, formatting.
- Intermediate: SUMIF and COUNTIF, conditional formatting, basic charts, data validation.
- Advanced: pivot tables, XLOOKUP or VLOOKUP, nested IF formulas, macros, and Power Query.
Write the level and two or three named features, for example "Excel (pivot tables, XLOOKUP, data validation)." Only claim features you could demonstrate in a skills test, because many admin employers give one.
Certifications that help#
Certifications are optional for most admin jobs. They help most when you're new to the field or changing careers, since they give a recruiter quick, verifiable proof. The Microsoft Office Specialist exams test specific apps, and the Certified Administrative Professional credential from the International Association of Administrative Professionals covers broader admin practice.
A notary public commission can be useful in legal, real estate, and banking offices. List each certification with its issuer and year. Our guide to certifications on a resume shows the formatting.
Administrative assistant resume bullets by seniority level#
Write for the level you want next. Entry-level bullets prove reliability. Mid-level bullets prove ownership. Senior bullets prove judgment and leadership. All numbers below are illustrative.
Entry level and office assistant#
- Answered 50–70 calls a day for a 4-attorney office, routing each to the right person and logging messages in the case system
- Scheduled 25–30 client appointments a day with no double-bookings across 3 calendars
- Entered and checked 200+ invoices a month in QuickBooks with a 99.5% accuracy rate on audit
- Reorganized the supply closet and set reorder points, ending weekly emergency supply runs
Administrative assistant (2–5 years)#
- Support a 15-person finance team with calendars, travel, and monthly close logistics
- Process 40+ vendor invoices a week, with zero late-payment fees in 2 years
- Built an Excel tracker for contract renewals that flagged 6 auto-renewals in time to renegotiate
- Created a shared onboarding checklist that cut new-hire setup time from 3 days to 1
Senior administrative assistant and executive assistant#
- Serve as sole assistant to a CEO and 2 VPs, triaging 150+ emails a day and handling about 70% without escalation
- Plan 30+ trips a year, including international board visits, with contingency plans for each leg
- Prepare and distribute quarterly board books for 9 directors under strict confidentiality
- Freed about 5 hours a week of CEO time by moving recurring 1:1s to a biweekly rhythm and batching approvals
Office manager and admin lead#
- Run operations for a 75-person office, owning a $180K facilities and supply budget
- Cut annual office costs 11% by consolidating 4 supply vendors into 2 and renegotiating the copier lease
- Supervise 2 front-desk staff and train 4 department assistants on shared scheduling rules
- Led the office move to a new floor for 75 employees over one weekend with no lost workdays
For more verbs that fit admin work, such as coordinated, streamlined, reconciled, and prioritized, see our list of resume action verbs. Our guide to organizational skills also shows how to prove planning and prioritization with evidence.
Tailor your administrative assistant resume to the setting#
The same admin skills apply across industries, but the vocabulary, tools, and priorities change. BLS reports that healthcare and social assistance employs 32% of secretaries and administrative assistants, followed by educational services at 13%. Tailoring your resume to the setting signals that you can start without a long learning curve.
| Setting | What to emphasize | Keywords to mirror |
|---|---|---|
| Medical office | Patient scheduling, insurance, records accuracy | HIPAA, EHR, patient scheduling, insurance verification |
| Law firm | Deadlines, filing, confidentiality, billing | Legal calendaring, e-filing, docketing, billable time |
| School or university | Student records, events, budgets, parents | Student information system, enrollment, purchasing |
| Corporate executive support | Calendars, travel, board prep, gatekeeping | Executive support, board materials, Concur |
| Government | Procedures, records, compliance | Records management, procurement, policy |
| Startup or small business | Range of tasks, tools setup, office operations | Office operations, vendor management, onboarding |
Government applicants should read our guide to federal resumes, since federal postings follow different rules. If you're applying for front-desk roles, our receptionist resume guide covers the visitor and phone side of the job in more depth.
A quick tailoring routine#
- Highlight every tool, duty, and setting-specific term in the posting.
- Match your title line to the posting's title if your experience supports it.
- Rewrite your summary's second sentence to name the posting's top two duties.
- Reorder your bullets so the posting's priorities come first in each job.
- Check the match with a resume to job description match tool and fill any honest gaps.
Our full guide on how to tailor your resume shows how to keep a master version and spin off targeted copies quickly.
Before-and-after rewrites for admin bullets#
Most weak admin bullets start with "responsible for" or list a task with no scale. The rewrites below add who, how much, and what changed.
BeforeResponsible for scheduling meetings.
AfterSchedule 40+ meetings a week for 3 directors across 2 time zones, resolving conflicts by priority rules each director approved.
BeforeBooked travel for executives.
AfterBooked 30+ trips a year, including international board visits, and cut average hotel cost 18% with negotiated corporate rates.
BeforeOrdered office supplies.
AfterRebuilt supply ordering with reorder points and a shared request form, cutting monthly spend 14% and rush orders from 6 to 1.
BeforeHandled filing and data entry.
AfterDigitized 6,000+ patient records into the EHR two weeks ahead of a system migration, with no records lost on audit.
The three-part rewrite test#
For each bullet, ask three questions:
- Who or how much? Name the people supported, the volume, or the budget.
- How? Name the tool or method, such as Concur, a shared form, or priority rules.
- So what? Name the result, such as time saved, money saved, errors avoided, or a process adopted.
If a bullet answers all three, keep it. If it answers only the first, it's still a duty. Add the result, or cut it in favor of a stronger line.
Administrative assistant resume with no experience#
Admin work is one of the most common entry points into office careers. In O*NET's survey of general admin roles, half of respondents said the job requires a high school diploma or equivalent. Employers expect to train you on their systems. Your resume needs to show you're organized, reliable, and comfortable with software.
Experience that transfers into admin work#
Look for any role where you scheduled, organized, handled money, or answered questions:
- Retail and hospitality: cash handling, scheduling shifts, phones, customer questions, inventory.
- Customer service: call volume, CRM data entry, written replies, accuracy.
- School and campus jobs: front-desk work, student records, event planning, office help.
- Volunteering: event check-in, donor records, newsletters, scheduling volunteers.
- Teaching: parent communication, records, planning, and coordinating with many stakeholders.
If you're moving from customer-facing work, our customer service resume guide shows how to quantify that experience first. Teachers have an especially strong case for admin and coordinator roles; see our guide to career change for teachers.
An entry-level version#

Administrative assistant pay and job outlook from BLS data#
BLS reports a median wage of $48,310 for secretaries and administrative assistants as of May 2025. The lowest 10% earned less than $35,360, and the highest 10% earned more than $77,720. Pay depends heavily on which type of admin role you hold.

| Label | Value |
|---|---|
| Executive assistants | $76,590 |
| Legal secretaries and assistants | $55,570 |
| General admin assistants | $47,540 |
| Medical secretaries and assistants | $45,930 |
Outlook by specialty#
BLS projects overall employment of secretaries and administrative assistants to decline 2% from 2025 to 2035. It still expects about 314,400 openings a year, all from workers changing occupations or leaving the workforce. The outlook differs sharply by specialty.
| Specialty | Jobs in 2025 | Median pay, May 2025 | Projected change, 2025–35 |
|---|---|---|---|
| General administrative assistants | 1,889,800 | $47,540 | -6% |
| Medical secretaries and assistants | 979,000 | $45,930 | +5% |
| Executive assistants | 489,300 | $76,590 | 0% |
| Legal secretaries and assistants | 157,600 | $55,570 | -5% |
BLS links the decline for general admin roles to technology, including artificial intelligence and digital tools, that lets other employees prepare their own documents. Growth in the medical specialty follows growth in healthcare. For executive assistants, BLS notes that many now support more than one manager, while managers handle some tasks themselves.
What this means for your resume#
- Show work software can't do alone. Judgment, prioritization, coordinating people, and handling exceptions are harder to automate than typing and filing.
- Show the tools you use to work faster. Templates, shared trackers, and automation you set up prove you make technology work for the team.
- Consider healthcare. If you're open to a new setting, medical admin roles are projected to grow. Learn the vocabulary, such as HIPAA, EHR, and insurance verification.
- Aim for executive support if you have the experience. It pays the most, and multi-executive support is increasingly common, so show how many leaders you handle at once.
Common administrative assistant resume mistakes#
Hiring managers see these mistakes constantly. Fixing them takes minutes:
- Listing duties with no scale. "Scheduled meetings" could mean two a week or sixty. Add the number.
- Writing "proficient in Microsoft Office." Name the apps and features instead.
- Typos and inconsistent formatting. For an admin role, these read as a preview of your work.
- Hiding executive support. If you supported senior leaders, name their level, such as CEO or VP, without naming the people.
- Including every task you've ever done. Pick four to six bullets per job that match the posting.
- Using a decorative two-column template. It can confuse applicant tracking systems and looks dated to many reviewers.
- Leaving out results. Time saved, money saved, and errors avoided are what separate a good assistant from a great one.
Our guide to common resume mistakes covers the errors that cut across every field.
Final checklist and next steps#
Use this checklist before every application:
- The title line matches the posting's job title.
- The summary says who you support, what you run, and your top tools.
- Each recent job has at least two bullets with a number or result.
- Calendar and travel bullets show scale, such as people, meetings, trips, and time zones.
- Software is named with specific features, not "proficient in Office."
- Dates, spacing, and fonts are consistent from top to bottom.
- The file is a PDF with your name in the filename.
- You've proofread it twice and read it aloud once.
If you want to compare your draft against finished examples, Resume Maker includes a sample resume library and four one-page, ATS-friendly templates you can start from. Whichever tool you use, keep one master resume with every result you've earned and trim it for each posting.
Your next step is the cover letter. For admin roles, a short letter that describes one problem you solved for a busy team works better than a list of traits. Our guide to writing a cover letter walks through the structure, and our guide to time management skills helps you prepare the prioritization stories interviewers almost always ask for.
